📩 How do I invite my learners to the EdBuild AI platform?

👥 Step 1 – Go to the "Licences" page

In the left-hand menu, click "Licences". This is where you manage your learners' licences: you invite new users and track those already enrolled.

🧠 Learner licenses are included in your plan: 30 with Starter, 1,000 with Team, unlimited with Enterprise. You need at least one free license to invite a new learner.

➕ Need more seats without changing plan? Add learner licenses as an add-on (volume discounts, from €50/year excl. VAT): click your initials in the bottom left, then Subscription.


➕ Step 2 – Invite your learners

Click the "Invite learners" button. A window opens with the available invitation options. It also shows the number of licenses remaining under your plan.


✏️ Step 3 – Choose how to add them

You have two options:

  • Add manually (one by one): enter each learner's name and email address.

  • Add several at once by copy and paste: paste a list with one user per line, for example:

Julie Test [email protected] Thomas Test [email protected] Alice Test [email protected]

🆗 You can enter email addresses only if you do not know the first names.


👥 Step 4 – Assign groups (optional)

As you send the invitations, you can add your learners straight away to one or more existing groups.

🎯 This makes it quicker to roll out courses to a whole group.


📬 On the learner's side: what happens?

Each learner automatically receives:

  • An invitation email

  • With a link to set their password and activate their account

Once that is done, they can log in to their personal area right away.


🔄 Managing licenses and deactivating users

  • You can deactivate a user at any time.

  • The license this frees up becomes available again for a new invitation.

  • Licenses are not tied to a named person: for example, out of 1,000 licenses, if 50 learners finish their course, you can reassign those 50 seats.

📌 You keep dynamic control over your access, with no unnecessary extra cost.
